All organizations are under pressure to demonstrate management systems that satisfy various stakeholder demands. Quality, environmental, IT security and health and safety concerns are just some of the requirements a business has to comply with today.
Traditionally, organizations have focused on establishing management systems that demonstrate compliance with each requirement individually, often in isolation from each other and sometimes even in conflict. In a perfect world, a business should have one system that runs the organization and addresses all the objectives at once, whatever they may be. Building an Integrated Management System to address various requirements enables a more streamlined flow of information throughout the business.
An integrated management system (IMS) assimilates all relevant components of a business into one coherent system so as to enable the optimal achievement of its business objectives. The purpose of Organization’s integrated Management System is to ensure product and service quality continue to meet the highest standards demanded by the organization and expected by its customers. It incorporates all of an organization’s systems and processes in to one complete framework, enabling an organization to work as a single unit with unified objectives. With an integrated system, an organization becomes a unified whole, with each function aligned behind a single goal: improving the performance of the entire organization. An integrated system provides a clear, holistic picture of all aspects of an organization, how they affect each other, and their associated risks. IMS allows a management team to create one structure that can help to effectively and efficiently deliver an organization’s objectives. From managing employees’ needs, to monitoring competitors’ activities, from encouraging best practice to minimizing risks and maximizing resources, an integrated approach can help an organization achieve their objectives.
Integrated Management is relevant to any organization, regardless of size or sector, looking to integrate two or more of their management systems into one cohesive system with a holistic set of documentation, policies, procedures and processes. All systems relevant to the business, whether certifiable or otherwise, can be included. These could include: Quality (ISO 9001); Environment (ISO 14001); Occupational Health & Safety (OHSAS 18001); Food Safety & Hazard Analysis Critical Control Points (ISO 22000 & HACCP); Social Accounting (SA 8000) and more.
While developing the IMS, it is ensured that it meets the requirements of the relevant ISO 9001, ISO 14001, OHSAS 18001, ISO 22000 and ISO 27001 specifications to demonstrate conformity to stake holders. Typically, organizations most receptive to this product will be those who have maturing management systems and who wish to introduce other management systems to their organization with the benefits that those bring. An effective integrated management system should ensure:
• Risk Assessment- this should address customer perceptions, health & safety risks, environmental concerns & impacts and process failure modes. By having a common approach it will be easier to compare risks occurring in different parts of the business.
• Norms & Regulations Management - to capture norms and regulations with respect to product specifications, environment and health & safety and their impacts on the business.
• Continual Improvement Management - this should focus on specific improvement programmes related to quality, health & safety and environment.
• Stakeholders Awareness - this should address needs of customers, staff and general public with respect to quality, health & safety and environment.
Accordingly all kinds of organizations have started pursuing the approach towards development and maintenance of unified management systems to address concurrently the confronting quality, production, marketing, environment, health & safety, food safety and information security issues. Thus, a typical IMS takes into account the specific organizational needs and accordingly the IMS structure is defined. Such a system results in a number of organizational benefits and optimal utilization of its human, financial & technical resources in an objective manner.

Earth Day is a day designed to inspire awareness and appreciation for the Earth’s environment. Responding to widespread environmental degradation, it was founded by U.S. Senator Gaylord Nelson as an environmental teach-in held on April 22, 1970 and is celebrated in more than 175 countries every year.
Environmental degradation is a result of the unsustainable and uncontrolled consumption patterns of robust urbanization & industrialization, dynamic inter play of socio-economic, institutional and technological activities. Environmental changes are driven by many factors including economic growth, population growth, urbanization, intensification of agriculture, rising energy use and transportation.
This rampant growth-oriented economic development across the decades has now brought a global challenge in front of mankind – a concern for the environment.
Earth Day 2010 can be a turning point to advance towards sustainable development, climate policy, energy efficiency and renewable energy. Earth Day Network is galvanizing millions of organizations who make personal commitments to environmental sustainability.
As a result, many organizations are now turning to the approach of developing an environmental management system (EMS) with the goal of attaining certification to the recently established International Standard – ISO 14001. The establishment of an EMS (that lies at the core of ISO 14001) is seen as a tool for planning and allocating the resources to implement and deliver services so that they address environmental priorities.
Environmental management system (EMS) refers to the management of an organisation’s environmental programs in a comprehensive, systematic, planned and documented manner. It includes the organizational structure, planning and resources for developing, implementing and maintaining policy for environmental protection. Environmental protection should become one of the highest priorities for all corporations demonstrated by the creation of policies, programmes, procedures and practices for achieving environmentally sound operations.
So on Earth Day, based on the idea of “Think Globally Act Locally”, Lakshy Management Consultant Pvt. Ltd. being a socially and environmentally aware organization join hands with millions of green youth across the globe for environmental protection.
As a “green initiative” Lakshy offered free online consulting for ISO 14001 Environment Management System on 22nd April 2010 to propagate environmental awareness and ideas for protecting the environment. On this occasion consultants at Lakshy organised “free ISO 14001 EMS consulting hour” and environmental awareness camps and highlighted the implementation procedures and benefits of implementing ISO 14001 in an organization for improving their environmental performance. Number of small and medium scale organizations came forward and participated in the event “free ISO 14001 EMS consulting hour” and felt motivated and responsible towards the environment they work-in.
Thus the “Green Initiative” started by Lakshy Management Consultant Pvt. Ltd. was a grand green success.

Deming’s Circle – Continual Improvement
ISO 14001 is based on methodology known as PDCA. W. Edwards Deming is known for his introduction of statistical quality control in the military and Japanese industries. His model was initially derived for quality control, quality assurance and continual improvement.
The Circle or wheel applies to all areas where continual improvement is required.
Deming’s circle describes four activities (PDCA):
Plan –
Establish goals, standardize working processes and train employees to deliver results in accordance with organization’s environmental policy.
Do –
Carry out the work according to the plan.
Check –
Verify compliance with environmental policy, goals, legal and other requirements and report the results.
Act –
Take actions to continually improve performance of the EMS.

Implementing ISO 14001 - Key Elements
Environmental Aspects
A procedure is required to identify the environmental aspects of the organization’s activities, products and services within the scope of the EMS that it can control and those it can influence. Aspects include technical concerns such as potential process, storage, transfer, transportation, utilities, and product impacts. Aspects are reviewed at the level of the site, plant, department, installation and process. Planned or new developments, or new or modified activities, products and services must also be considered. From the identification process, aspects should be determined which have or have the potential to cause significant impact on the environment. Impacts include emissions to air, water, hazardous waste, soil and groundwater, energy use, material use, cosmetic and nuisance concerns. The significant impacts must be taken into account when implementing the EMS and this information must be kept up to date.
Aspect / impact identification and the determination of significance is the cornerstone of the EMS, as significant impacts must be managed. All aspects and the associated impacts must be identified in order to determine if they are significant. The organization should then determine the significance of each impact based on a declared procedure (criteria). There is no single recommended or accepted method for identifying and evaluating the significance of aspects and impacts. It is upto the organization which method to use but the method must be sound & justifiable. The criteria can include elements influencing impacts such as quantity & toxicity of substances, sensitivity of receptors, considering legal requirements can also be a useful filter to evaluate significance of a particular impact.
Questions to ponder could be:
• Are all aspects identified: past, current & future planned, direct & indirect, for activities, products and services under normal, abnormal and emergency situations?
• Have aspects with a significant impact been identified – is there a significance criteria?
• Are significant aspects & their potential impacts been considered while developing objectives & targets?
Legal requirements:
A methodology for gathering information on legislation is essential. Legislation can cover discharges to air, land and water and nuisance considerations as well as other factors related to the operation e.g. packaging, emergencies; waste management etc. legislation covering indirect aspects and impacts can be important for the organization and should be considered. There should be effective communication of legislation requirements to those who need to know. There must be a periodic review and this should be frequent enough so as to capture changes.
Questions to be answered could be:
• Is there a process for identifying and keeping all relevant information up to date?
• Have all regulations and other requirements that apply been identified viz. environmental laws, industry codes for practice, agreements with public authorities.
Objectives, targets and programme
Objectives and targets must be documented and consistent with policy and the identified significant environmental aspects and legal requirements. Employees responsible for achieving objectives & targets should be involved in their development so as to ensure understanding and reality. An organization’s objectives & targets must be S.M.A.R.T (Specific, measurable, achievable, relevant and time bound) and reviewed and revised where necessary. Programmes must include the designation of responsibility, the means of achievement and the timeframes by which they are to be achieved.
Questions to be deliberate could be:
• Are objectives and targets documented and measurable, maintained throughout the organization, consistent with policy and continual improvement?
• Has consideration been given to normalizing them (e.g. energy use per tonne of production)
• Have legal requirements, significant aspects, technical options, views of interested parties being considered?
• Have programmes been established to manage the achievement of objectives and targets, and do they include – responsibility at each relevant level, solutions and time scales, considered new developments?

What is ISO 14001?
The International Organization of Standardization, (ISO) is a worldwide organization that develops many different kinds of Standards – not just quality standards. ISO 14000 is a series of documents relating to the implementation of an Environmental Management System (EMS).
ISO 14001 is the document which defines the requirements for the EMS and provides guidance for its use. ISO 14001 specifies the requirements of an environmental management system (EMS) for small to large organizations. An EMS is a systemic approach to handling environmental issues within an organization. The ISO 14001 standard is based on the Plan-Check-Do-Review-Improve cycle of ISO 9001 – even though it is not a Quality Management System.
To learn more we recommend this free tutorial “The Basics of ISO 14001?”
How does ISO 14001 relate to ISO 9001?
ISO 9001 is a Quality Management System (QMS) which similarly gives organizations a systematic approach for meeting customer objectives (providing consistent quality). An important difference between ISO 14001 and other ISO standard is that it describes the requirements for an environmental management system that can be used for the registration of the management system and / or for the self-declaration of compliance by an organization.
What is an Environmental Management System (EMS)?
An EMS gives an organization a systematic approach for managing their environmental impact (the consequences of their operations). The objective is for ISO 14001 to control environmental impact of the organization’s actions and continually increase the environmental performance as measured against objectives.
Why do companies want to pursue ISO 14001?
Fundamentally, it is everyone’s job to protect the environment by preventing pollution and continually improving the air we breathe, the water we drink, and the earth we inhabit. But there are several specific reasons for implementing an EMS:
It’s the right thing to do
Organizations are becoming increasingly concerned in achieving sound environmental performance to demonstrate that you are a “Good Corporate Citizen”.
• Improved environmental performance—protect the environment
• Improved customer trust and satisfaction by conforming to ISO 14001 International Standards
• Improved public image and community relations—recognized for achieving certification
• Fewer accidents due to properly handled dangers
Reduced Liability
• Improved compliance with environmental regulations—Federal (EPA), State (State environmental agency), and Local (permits)
• Increased employee involvement—implementing ISO 14001 is perceived as “the right thing to do”
• Reduced liability and risk exposure by ensuring an environmentally safe system
Market Pressure
Many organizations decide to Implement ISO 14001 and obtain registration because it assures customers, shareholders, suppliers, regulators and the community at large that the company has a good Environmental Management System (EMS) in place. An organization with an effective EMS will typically meet customer expectations and comply with regulations better than an organization that does not have an effective EMS. Many organizations require their suppliers to have ISO 14001 Registration
• Gain competitive advantage—use environmental improvements to enhance marketing efforts
Cost Savings:
Implementing ISO 14001 often delivers cost savings:
• Reduced costs by avoiding excessive waste and associated costs
• Reduced materials and energy usage
• Increased efficiency by improving and standardizing environmental related processes
Is it right for our organization?
We’ve now given you a brief overview of ISO 14001, the Environmental Standard rooted in ISO 9001 Quality Standard. Only you can decide if it is right for your organization, but it’s certainly the right thing to do for our planet.
